Cancellation & Billing Policy
Appointments
The appointment times you are given have been reserved specifically for you, and you should make every effort to attend punctually. Therapy sessions last for 50 minutes. Assessment sessions are between 50 to 110 minutes, depending on the type of session scheduled. If you are late, your session will end at the scheduled time and will not run over into the next person's session.
Cancellation Times
If it is necessary to cancel your appointment, you need to give at least 24 hours notice. Weekends and holidays are not normal business hours and as such you are expected to cancel any necessary appointments with this in mind. If it is 24+ hours before your appointment you can cancel in the Jane online booking app or, if that is not possible, you can contact the office directly.
If you cancel with less than 24 hours before your appointment time, you will be billed for 50% of the cost of your appointment. This also applies to same day bookings which are subsequently canceled.
If you fail to attend a scheduled appointment without giving any cancellation notice, you will be billed 50% of the cost of the scheduled session the first time this occurs. For all subsequent no-shows: Clients will be billed 100% of the cost of the scheduled session. If you are a no-show for two sessions in a row and do not respond to our attempts to reschedule, we will assume that you have dropped out of therapy or assessment and will make the space available to another individual.
Providing more notice is always encouraged as it allows you to reschedule and keep your treatment progressing. Additionally, it allows for someone else to access the time-slot; someone who may desperately need to access service.
Our voicemail has a time and date stamp which will keep track of the time that you called to cancel.
Late cancellation/ no show appointment fees will be charged to the credit card on file.
Exceptions To Fees
Being that there is a range of valid reasons for canceling an appointment, cancellation fees may be waived in some circumstances (for instance, if you would endanger yourself by attempting to come due to bad weather conditions, or if you are unexpectedly ill), said fee waiver will be at the sole discretion of DC Psychological Services.
Changing Your Appointment Type
You have the option of changing your session to a tele-health video session if need be due to illness, weather related reasons, or other. It is solely your responsibility to make changes to your appointment type. This can be done through your client profile on the Jane app 24+ hours before your scheduled appointment, or by contacting our office no less than 2 hours prior to your appointment time.
Appointment Reminders
You can opt in to receive emailed appointment reminders through your profile in the Jane App booking system, sent out 2 days before their appointment time. You also have the option of adding SMS (text message) reminders 2 hours before your scheduled session. Rarely, the Jane App may be subject to technical problems whereby reminders are not sent out. These reminders are a courtesy only; you are responsible to keep or cancel your appointment regardless of whether you receive a reminder or not. If you are uncertain when your next appointment is, please log into your profile on the Jane App or contact our office to check.
Payment & Insurance Billing
Our psychologist's fee is $220.00 per hour.
Payment is due at the end of the session. You are responsible for paying at the end of your session unless we have made other arrangements in advance.
We are able to charge your required credit card on file for payment if that is your preference. Payment may also be made by any combination of debit or credit card, direct insurance billing, cash or electronic money transfer. A receipt with your psychologist’s registration number will be provided for the purpose of accessing benefits and to provide a record of the payment for income tax purposes (psychological services are classified as a medical expense).
If you have insurance coverage available, you are required to complete an Electronic Benefit Submission consent form. You are responsible for providing us with the information required to send in your bill. While we do provide direct billing to select insurance providers, not all insurance companies allow direct billing for all policies. It is your responsibility to monitor your coverage availability. If for any reason your insurance company denies your claim or does not pay the full amount, you are responsible for payment prior to your next session occurring.
Additional Fees
If we spend more than 10 minutes in a week on the phone, if you leave more than ten minutes worth of phone messages in a week, or if we spend more than 10 minutes reading and responding to emails from you during a given week, we will bill you on a prorated basis for that time.
Occasionally, an individual may require the completion of one or more formal letters, insurance or other forms, and/ or applications to specific funding programs. DC Psychological Services is able to complete these on behalf of the client for an additional fee starting at $100 per form. The final cost for these services will be prorated dependent on the actual time required for completion based on our hourly rate of $220 per hour. We do not bill directly to insurance providers for document completion.
Overdue Accounts
We do not allow clients to run a tab. Any overdue bills will be charged 1.5% per month interest. If you eventually refuse to pay your debt, we reserve the right to give your name and the amount due to a collection agency.
