At DC Psychological Services, we value the time and care that goes into every session. Appointment times are reserved for you, and your psychologist prepares thoughtfully for each meeting. Our cancellation and billing policies are designed to ensure fairness, protect clinical time, and support consistent, high-quality care for all clients.

Cancellation Policy
We require 24 hours’ notice for any appointment change or cancellation. This policy allows us to offer your spot to another client who may be waiting for psychological care at our clinic.
Cancellations made with less than 24 hours noticehours' notice, including missed appointments, are billed at the full session fee.
We understand that emergencies or unexpected situations can occur. If something urgent has happened, please contact our clinic as soon as possible so we can support you in the best way we can.
Late Arrivals
If you arrive late for your session, your appointment will still end at the scheduled time. This policy maintains fairness for all clients and helps your psychologist remain on schedule throughout the day.
Session fees remain unchanged for late arrivals.
Billing and Payment
Payment is due at the end of each session. We offer several convenient payment options:

Direct billing to select insurance providers (availability may vary)
You will receive a receipt for your records and for use with extended health benefits plans.
If you have questions about insurance or coverage, our administrative team can offer general guidance. Clients are responsible for confirming the details of their individual plan with their insurance provider.
Assessment Billing
Psychological assessments include clinical interviews, testing sessions, scoring, interpretation, written report preparation, and a feedback session.
Assessment fees are billed in stages throughout the process. Before starting your psychological assessment, our administrative staff or your psychologist will review the fee structure with you and answer any questions you may have.
Reports are released once assessment fees are paid in full.
Missed or Cancelled Assessment Appointments

Because assessment appointments require significant preparation and dedicated testing time, missed or cancelled testing sessions with less than 24 hours’ notice are billed at the full assessment session rate.

We encourage clients to review their schedules carefully before confirming testing dates.
Communication Between Sessions
Brief administrative communication between sessions is included as part of your care. Longer clinical discussions, letters, or documentation may be billed at your psychologist’s hourly rate. Your psychologist will inform you in advance if this applies.
Outstanding Balances
Outstanding balances may affect your ability to book future sessions at DC Psychological Services. If you require a payment plan or have concerns about billing, please speak with our team so we can support you.
